The Ministry Scheduler Pro (MSP) Project

At Christ Church Cathedral we are blessed with more than 100 volunteers who serve in various liturgical ministries! As you can imagine, scheduling that many people is a daunting task that takes—and this is no exaggeration—dozens of hours each quarter. Even with the best efforts of ministry leaders, the results are not always ideal (e.g. “double-booking” participants in ministry areas that cannot be performed concurrently). In order to develop a centralized and efficient system for volunteer scheduling, the cathedral is implementing Ministry Scheduler Pro, a powerful program that will eliminate the frustrations of decentralized manual scheduling and, once all the parameters are set, make scheduling a minimal time investment. By spending a few minutes each quarter logging in to Ministry Scheduler Pro to indicate your availability and see when you are scheduled to serve, you will be saving someone else many hours. If you would like a quick tutorial to make this as easy as possible, let us know by emailing liturgyscheduling@cccath.org.

If you serve in any of these ministries, please see MSP Login Procedure to login to the Web Terminal:

  • Click "Rosters" to view the roster for each ministry.
  • Click "My profile" to update your profile information, scheduling preferences and unavailable dates/times.
  • Click "Admin" to perform admin tasks if you are a ministry leader.

If you have an Apple IOS (iPhone, iPad) or an Android device, you can also download a free app to access most of the above features:
  • Go to the App Store or Play Store on your device and download the "Ministry Scheduler Pro" app. 
  • Open the app and enter the following under Organization ID: CCCath 
  • Enter your Web Terminal Username and Password to log in.  
  • Please note that the roster information is not available on the app and the "My Profile" feature does not have the full functionality as in the Web Terminal.

MSP Procedure: Updating your scheduling preferences and the "Unavailable dates / times" on your MSP Profile

Many thanks for your participation in and support of the liturgies at the Cathedral.  Please spend a few minutes each quarter logging into Ministry Scheduler Pro to indicate your availability and to update your scheduling preferences for the system to create a new schedule for your liturgical ministry.   

After Logging onto the Web Terminal, on the "My Profile" page, please scroll down to the Ministry & Scheduling section to update your scheduling preferences and unavailable dates/times.
  • My ministries:  This section lists your current ministries.  If you wish to serve only as a substitute for a particular ministry, please select that ministry as highlighted in this example.  If you wish to be added to or removed from a particular ministry, please email us at liturgyscheduling@cccath.org.

  • Preferred frequency of scheduling: This setting can be used when you would like to serve more or less often than everybody else.

  • Service PreferencesYou may specify weekly or any special services as preferences. You may also use the special “[Any special service]” preference to indicate a preference for any special service that is created in the Schedule as part of the scheduling process. If you check the “Schedule only at these times” checkbox, you will not be scheduled for any services other than  the ones you add to this list.

  • Unavailable Dates/Times: We have provided the following examples on how to enter unavailable dates/times for the regular Sunday services as well as special services.  
    • Can't serve at regular Sunday service (8 am or 10 am) on a date or a date range.  Please use the combination of "for a specific service" and "At this shift" to specify a date or a date range. Please only enter dates within the requested scheduling period.  When appropriate, please try to always use this combination to provide your date(s) so that you won't block any special services unintentionally.  Please Click "OK and Add Another" if you wish to enter more dates. Otherwise, click "OK" to complete the entries. (click on the image to enlarge)

    • Can't serve at a special service. Please select a special service from the "At this shift" drop down list. On that yearly list, you will only see services that are applicable to you, so not everyone sees the same list. Please select services that you are NOT available within the requested scheduling period. Please note that for a scheduling period of November, December and January in the following year, the January services are listed on the top as highlighted below. Click "OK and Add Another" if you wish to enter more services. Otherwise, click "OK" to complete the entries.

    • Can't serve at any services on a date or a date range. Please note that if you choose this option, you will not be scheduled for any regular or special services within the specified dates or date ranges.  Click "OK and Add Another" if you wish to enter more dates.  Otherwise, click "OK" to complete the entries.

    • Once you click the "OK" button as in the examples above, you will see all your entries as following.  You may make more changes by selecting any date(s) and click “Remove” or “Edit.” You must click the Submit button at the bottom of this page for your request to be processed.  You can go back and change the dates at any time before the scheduling deadline.

    • If you would be available all this scheduling period, please leave a comment to that effect in the Comment section and click the Submit button. (click on the image to enlarge).  These comments will no longer be displayed on your profile once they are processed.

MSP Procedure: Login to MSP Web Terminal

Please use the UserID and Password you received via email to login to the Ministry Schedule Web Terminal. If you forgot your password, please click "forgot your username or password" and the system will take you through the steps to reset it. (click on the image to enlarge)

If you haven't already done so, you are encouraged to change the initial random password to something easier for you to remember. Simply click  "Change my login password" and enter your new password. (click on the image to enlarge).

MSP Procedure: Volunteer for an open position in the schedule

You can volunteer for an open position either through the Web Terminal on your browser or the MSP App on your phone:

  •  MSP App: Please open the MSP app, select the "open position" tab, select the open position and click the "volunteer now" link.

MSP Procedure - Requesting/Accepting a Substitute or a Trade For a Scheduled Service

If you are unable to serve on a scheduled date, please login to the Ministry Schedule Web Terminal to:
  • Click the "My Schedule" tab to view the list of services you are scheduled to serve.
  • Click the "(request sub)" link next to the date of service for which you are unable to serve.

If you have installed MSP app on your phone, you can select "My Schedule" from the bottom list and then click the "Request Sub" tab.

The system will then send an email (see a sample below) to all the volunteers who are qualified to fill this position.   If you prefer someone to trade with you, you would want to indicate that in the Comments area.                                
                                                     

When a volunteer clicks on the link to "(volunteer now)" for a swap requested position, they will be given two choices: Fill in the position without a trade, or, trade for one of their scheduled positions. If they choose to propose a trade, they will be shown a list of their scheduled positions in which the volunteer requesting the sub is qualified to serve. They can select multiple dates and then click the "Propose Trade" button.  The volunteer originally requesting the sub has a choice of accepting the trade by clicking on the accept trade link next to the proposed trade times or not accepting the trade by simply not clicking the accept trade link in the email, and no further action is necessary.
